Great Basin Graphics,
The Color Vibe 5k is nationwide color-infused fun run that teams up with non-profit charities and organizations to support their financial needs. Color Vibe is based in Cache Valley and has gained popularity with over 1,000,000 supporting likes on Facebook.
Color Vibe is proposing a partnership with Great Basin Graphics (GBG) to allow a larger donation to the Heart of the World Foundation. We are asking for a discount to be put toward the retail cost of printing participant shirts for our upcoming Cache Valley Color Vibe 5k.
With this discounted race, we will place GBG’s logo on the participants’ shirts, serving as a great mean of advertising. Additionally, we will market your company to our 1,000,000 likes on Facebook as a secondary mean of advertising.
The Appeal
Color Vibe has seen the high quality of work performed by Great Basin Graphics on behalf of the Top of Utah Marathon and Half Marathon. Both clothing and the services of screen printing and embroidery have been of a high quality. Individuals associated with the Top of Utah races have expressed their satisfaction in working with your organization. Not only are we drawn to the experience you have with runners, but also to the fact that you are local to Cache Valley. Being based from the area ourselves, we enjoy working with organizations that are share this connection.
We feel that working together would have positive impact for both Color Vibe and Great Basin Graphics. A large majority of Color Vibe participants are first-time racers, often young mothers and children. As this is a different demographic than those persons in attendance at many Top of Utah events, this could be an effective means for Great Basic Graphics reaching a new audience.
A core value of our organization is based upon the importance of serving the community. As mentioned throughout this document, this particular race will be benefiting the 501(c)3 organization, Heart of the World Foundation. By creating an association with your organization, we will have more funds available to donate to this non-profit. Heart of the World has a reach that covers the globe through its humanitarian service. Your assistance in this work would gain the appreciation of not only the local community, but beneficiaries around the world.
Problem and Solution
This spring we will be hosting a 5k run to raise fund for the Heart of World Foundation. It is our desire to lower costs in every aspect possible to ensure the majority of the registration fee will benefit the Heart of the World Foundation.
We are familiar with your graphic design work with other local running events, including Top of Utah, and are impressed with your professional work. We recognize that you are familiar with providing T-shirts to running organizations. We have confidence that you can be the solution to lowering our T-Shirt costs and increasing our charitable donation. We propose this be done by donating the printing of the T-shirts.
We feel T-shirts are an important part of every race for tradition, memorabilia, and marketing. Traditionally, T-shirts are given at every organized race. A cool T-shirt has become part of the racing experience. They are a memorabilia for the runners of the great experience they had participating in the run and the ‘cause’ they ran for.
T-shirts can also be an advertising tool for others in and out of the running community. Hundreds of people continue to wear their shirts after the race creating walking advertisements for GBG and Color Vibe. It also raises awareness to the philanthropic work of the Heart of The World Foundation.
In exchange for free printing of T-shirts, we will display your company logo on the shirt and you will be instantly associated with working with a charitable organization and a running company that hosts hundreds of fun runs nationally every year. We would also like to offer an opportunity to set up an “on location” booth at the event that can enable you to sell any products you desire.
Capabilities
Color Vibe is an organization capable of hosting successful races to benefit nonprofit sectors and support social change. Throughout the years, Color Vibe races have grown at an increasing rate. The fun and energetic atmosphere of Color Vibe has made a mark on the running industry with color filled fun for all ages. This spring we will be hosting the 5k color run in Cache Valley to support the Heart of the World Foundation, a foundation that supporting women and their calling to motherhood. As 70% of our participants in Color Vibe races are women and children, we feel this is a great way to give back to our own community. Each race put on by Color Vibe is supportive of community outreach and positive change. With over 1 million supporters Color Vibe has and is continuing to make a difference.
Budget
It is our proposal that we purchase t-shirts from Great Basin Graphics at the regular retail price in exchange for free screen printing. This proposal is based upon similar arrangements that have been made in the past with the Top of Utah race series. See appendix A for full budget break down.
Conclusion
Our challenge is to donate a large portion of funds to the Heart of the World Foundation and still cover the cost of facilitating the event and paying for the t-shirts. Our desire is for the majority of the registration fees go toward this foundation. You can make our dream possible by producing the t-shirts free of printing costs. Doing so will allow us to donate more money to the foundation and market your business.

This looks like a great proposal and a worthy effort. I noticed a few things that you may wish to change before submitting this though. First, "serving as a great mean of advertising." & "Facebook as a secondary mean of advertising." Should be plural - great 'Means' of. But an excellent intro otherwise.
ReplyDeleteThe other thing I noticed was the inconsistent writing of T-shirts and t-shirts. In all cases, it is never the first word in the sentence. I checked online and it seems its either always capitalized T- or spelled as tee with the lower case.
Something to keep in mind, considering GBG would notice the misspelling as its their business to know how it should be spelled.
Great job. I agree with the technical errors as mentioned above. Otherwise, I like how you began your proposal in the fact that you stated your company and your credentials. I believe for GBG it will help them feel more confident in agreeing with your proposal. Great job on continuing your persuasion by bringing in the example of Top of Utah. Your proposal is well organized making it easy to read and looks professional.
ReplyDeleteThis proposal is well thought out and paints the advantage to GBG to sponsor the race. Advertising is always a great incentive. I was unclear until the end of the proposal what the discount would be. At the beginning you stat that it would be a discounted rate (unspecified), in the middle you said they would be free ( which confused me), and not until the end did I finally understand that the printing would be done free of charge, with the cost of the shirt paid for by ColorVibe. I would change this detail so it is clear throughout. Something good is that you showed how the demographic of the ColorVibe is different than the other races they have sponsored. This shows how GBG can reach a larger and more diversified clientele. I appreciate the cost breakdown at the end, but would understand it more if the expenses were subtracted from the estimated budget.

Not only are you proposing from an advertising perspective but you added in your desire to take the funds you would receive from GBG and put it towards Heart of the World.The budget break down is a great visual that lends more information and understanding to the proposal. I love how you ended with "The Color Vibe Team." It lends itself to the cohesion and success that we discussed in class. Well done.
ReplyDeleteI thought this proposal was really straight forward, and to the point. You give a specific example for almost every category you write for, and provide insight into how the exchange can be benefited both ways. One example I found appealing was, "Hundreds of people continue to wear their shirts after the race creating walking advertisements for GBG and Color Vibe." This is using a communication technique of visualizing the product on the streets. Whoever is sitting down reading this proposal, is imagining the exchange already happening because you made it possible. I am impressed with how much depth you wrote, but were also able to keep it simple without confusing the reader. The only thing I would change is in the end, take out "you can make our dream possible." You want them to think the exchange is happening with or without them. Instead of giving them the upper hand in doubts, format your wording to where the dream is possible with or without their contributions.

The budget breakdown was very well done. One thing that I would like to see a little bit better is be more concise and to the point.
ReplyDeleteThis proposal seems very well thought out and I can tell this group has put a lot of time into it. The Color Vibe is a very successful organization and I feel that this proposal can be accomplished. The visual aide is a nice touch as the budget is displayed so readers can get more out of what is being said. One thing I did notice was a few grammatical and continuity errors so I would just be careful in the future. Overall great job.
ReplyDeleteAwesome proposal, I like that you guys are wanting to work locally to benefit Cache Valley! t-shirts are awesome for races, my mom runs marathons and the amount of free t-shrits that she get is incredibly high and these shirts always have quite a bit of advertising on them!
ReplyDeleteI like how there is an appendix to show the budget breakdown. I thought that was creative. For the most part, the body structure of the letter seems to be formatted well, which makes it easier to read. It also gives off that vibe that the letter is clear and concise.
ReplyDeleteAs far as what I would do differently, I think it would be better to use to company names rather than words like "you", "your", "we", "our", etc. I only suggest that because it seems more professional and softer when there is a demand being present. Also, I do not remember well, but I think 1,000,000 needs to be written out as 1 million. Once again, I do not remember.
Great proposal, I love the overall idea. Whenever I have been apart of 5K races the t-shirts are something I cherish. T-shirt advertising is a great way to advertise and will be beneficial to GBG. This was easy to read although I think it was too wordy. I think a more concise proposal may be easier for the consumer to comprehend. In a proposal you want it to be read, understood, and accepted and in making it more direct this has the potential to do so.Great job formatting this.

ReplyDeleteThis is the deal that I believe is most likely to succeed out of the ones presented. It is a common form of advertising that happens all the time. I own a cycling business and have people contacting me often with this type of proposal. They ask for goods or services in exchange I get my logo on a t-shirt or a banner. I find it to be a great way to advertise, it gets the right people in my doors. Its cheap and has good returns.
